ETC updates digitization project with 4.2 million pages scanned for court documents

In the heart of Van Buren County, a significant transformation is underway as officials provided an update on the ambitious digitization project aimed at modernizing court and sheriff's records. During a recent board meeting, the project manager detailed the progress made since the board approved a budget of $492,000 in October 2023 for the digitization of approximately 4.2 million pages of documents stored in the court basement and the former sheriff's administration building.

The project, initially perceived as straightforward, has revealed itself to be more complex than anticipated. After the initial approval, Graphic Sciences, the contracted company, began the labor-intensive task of scanning and documenting the extensive collection of files. By February 2024, the scanning process commenced, but challenges arose, including issues with data transmission that temporarily slowed progress. However, the introduction of physical flash drives for document transfer has significantly accelerated the workflow.

As of now, approximately 1.7 million images have been successfully scanned and integrated into the county's OnBase system, allowing staff to access these documents digitally. The project team has been working closely with court officials to establish secure access protocols, ensuring that only authorized personnel can view sensitive information. With the expected completion date set for October 2025, the team is optimistic about finalizing the project on schedule.

The digitization initiative not only aims to streamline access to vital records but also to enhance the efficiency of the court system. Once all documents are digitized and verified, the physical copies will be securely destroyed, marking a significant step towards a paperless future for Van Buren County's judicial processes.
