RFP for records system closed to proposals Oct. 17; evaluation team to report recommendation in early 2026

Committee members were briefed Oct. 1 that the request for proposals (RFP) for the records management replacement went out Aug. 26 and that an informational session drew about a dozen vendors. The proposal deadline was extended from early October to Oct. 17. Doug, who presented the RFP update, said vendors’ questions were largely focused on technical data migration, which he described as the most costly and complex part of responding. He said procurement will receive proposals directly and that DuPage County staff will not know the final list until procurement releases them. Doug said the evaluation period after proposals close will be four to six weeks, with an anticipated recommendation to the committee in February 2026. He described the evaluation committee as a cross‑agency group drawn from DuPage County IT and member agencies, roughly 13 volunteers including records managers, at least one detective sergeant and deputy chiefs, and representation from the sheriff’s office, which the staff called the consortium’s largest user. Committee members asked for onboarding materials for two newly appointed members; staff agreed to prepare background information including bylaws and a summary of the original intergovernmental agreement (IGA) and membership changes.
