Village staff told the Board of Trustees on Oct. 9 that the request for proposals (RFP) for the village’s waste hauling contract is expected to be published the day after the meeting and will be due Nov. 7, with staff review planned through November and December and a recommendation to the board anticipated at the Dec. 11 meeting.
The village administrator said the RFP largely preserves the structure of the existing contract — including the existing pickup days for most residents and a separate schedule for the Ashbrook townhomes — but asks proposers to provide alternate bids for unified single-day pickup village-wide and to quote prices to provide dumpster service to HOAs. Staff also requested that respondents indicate whether they can offer a curbside composting option; staff said the change would have minimal operational impact for residents and that alternatives are being requested to measure price differences.
The administrator said the current contractor’s agreement was extended to April 2026 to allow for transition time if a new vendor is selected. Staff described the procurement timeline as: publish RFP, collect proposals by Nov. 7, review proposals and possibly interview shortlisted firms in November–December, and then present an award recommendation to the board on Dec. 11 to allow transition before April 2026 if needed.
Discussion and context: staff said a consultant with the Solid Waste Agency helped clean up and standardize the contract language. The RFP will request both the base scope (current service) and alternates (single-day service, HOA dumpster pricing and composting availability) so the village can evaluate potential cost or service tradeoffs.
No formal board motion was recorded on the RFP at the meeting; staff described the planned schedule and asked for direction to proceed with the procurement process.
