The Delafield Common Council on Oct. 6 approved a 60-month lease for a Konica Minolta multifunction copier, accepting a state contract vendor proposal that staff said offered the best combination of price and included services.
Molly (city clerk) described three quotes she obtained through the state contract and a local vendor and recommended the Konica Minolta offering. The lease term the council approved totals $15,214.80 over 60 months; staff said roughly $135 per month of that is the service component (about $8,100 over the lease) and toner and service are included. Molly said the purchase price option would be about $4,700–$5,000 but the lease bundled service and consumables.
Council members examined cost-per-page and downtime history. One council member said the city runs about 5,000 black-and-white copies per month and several service calls a year; staff said repairs have been needed multiple times annually. The council noted that buying a machine outright would leave the city responsible for parts and service agreements, and that the lease’s unlimited service provision was preferable for heavy use.
A motion to approve a 60-month lease for the Konica Minolta product was moved and seconded; the motion carried with council approval.
Staff asked for direction on lease length and procurement paperwork; staff will execute the lease and have the city attorney review final contract language before signature.
