Estacada parks board confirms concert logistics, clears space for informational tables

Board members agreed Parks and Rec would continue the recent practice of supplying performers with basic refreshments; staff and volunteers will follow up with the event organizer to confirm needs. Commissioners also said community groups and businesses may set up informational tables at the concerts provided displays are not ideological or divisive.
During the discussion board members said several organizations have called requesting table space; staff will direct groups to a central email address for reservations and will follow up to ensure responses are reaching applicants. The utility Portland General Electric (PGE) was mentioned as one frequent caller requesting a table; commissioners indicated PGE’s request would be acceptable if the table is informational.
The board discussed staffing for the event, including whether board members can provide a Parks and Rec table with giveaways (stickers, Frisbees) and whether youth activities such as chalk and yard games would be available. Staff members said the city has yard games and that volunteers or board members can bring a canopy or table if needed.
Board members asked staff to confirm the event email access and to circulate clear instructions for groups that want to reserve a table. The board did not take formal action on permitting rules beyond the guidance that tables are allowed when nonpolitical and that the organizer should be the contact for logistical details.
Minor operational items noted during the discussion included checking whether food vendors (for example local vendors or scout groups) will set up at specific concerts and confirming who will manage table placement on the lawn the morning of each event.
Looking ahead, staff agreed to follow up with the event organizer and to post a public call for table requests through the city’s regular communications channels so residents and community groups can reserve space.
