City staff asked the Estacada Arts Commission to adopt a decisions-only approach to meeting minutes, and commissioners agreed to rotate a scribe to capture motions, seconds and vote outcomes rather than full verbatim minutes.
Alex (city staff) explained the city’s request is intended to reduce staff workload: the city will continue to provide meeting video, and the commission’s minutes need only summarize the formal actions (motions, seconds and vote results). Commissioners discussed taking turns to record decisions and action items; Beth (commission member acting as tonight’s scribe) agreed to write up the approved minutes from today’s meeting and submit them to city staff for posting.
The commission also moved to approve the previous meeting’s full minutes. The motion to approve the minutes carried; a scribe was assigned for the current meeting for distribution to city staff.
Commissioners emphasized that more detailed records remain available via the meeting video if members or the public need fuller context.
