Estacada Parks Commission readies logistics for concerts in the park; seeks flyer placement and supplies

The Estacada Parks and Recreation Commission reviewed logistics for its upcoming Concerts in the Park, confirming canopy and volunteer plans, supply shortfalls for goodie bags and medals, and a request to place an event flyer in the city water bill mailing.

Commissioners said the event will run with volunteers staffing tables and that one commissioner will arrive early to set up and help break down. The commission noted they have three canopies available and an inflatable attraction and bubble machines in commission member storage for use at the event.

Commission members raised that supplies are low: goodie bags and medals used previously are nearly depleted. Commissioners discussed buying bulk items (dollar-type stores, Michaels) and said they will look for inexpensive small toys such as glow bracelets suitable for children. One commissioner said they had already ordered goodie bags.

The commission also discussed promoting the event. A commissioner asked whether the updated event flyer could be included in the city water bill mailing; staff said material for the next water bill must be submitted by the deadlines for the August billing run, roughly seven days before bills are generated. A commissioner said they would update the flyer and submit it before their planned absence later in the month.

On funding and donations, commissioners said the Decatur Park donation box remains in use; donated funds are counted by a staff member named Sadie and deposited to the commission's account. Commissioners noted the donation box was created by Diane Turk before her death and said the physical box should be located in city storage if not currently on site.

Less urgent details discussed included which community groups would table at the event and plans for a small table of candy and simple giveaways. Commissioners said they will finalize supply purchases and flyer updates ahead of the mailing deadline.
