Commissioners set art-exhibit and poetry contest logistics; approve $100 honorarium for a library collage workshop

Deborah, reporting on the library program, said the commission had sufficient submissions for a show and recommended setting installation over Memorial Day weekend so volunteers and staff could hang the work before the library opens. "My thought for [a] reception looking at the library calendar would be June 5," she said, and requested extra volunteer help for hanging, labeling and mounting.
On the community poetry program, commissioners and volunteers reported they judged entries and recommended selecting 17 poems and limiting each poet to one poem in this first year. Commissioners discussed publishing additional submissions in a separate activity that would require explicit author consent. One member said the submissions pool appeared large — "over 70" entries — and the commission agreed that publishing entries beyond the selected program would require a distinct process and author permissions.
The commission also considered a proposed collage workshop at the library led by Chelsea. After discussion, commissioners approved a cosponsored collage workshop and authorized a $100 honorarium for Chelsea, with the arts commission supplying workshop materials. "If we're providing the honorarium and the supplies, we should make sure we're co‑sponsored," one commissioner said during the motion; the motion passed unanimously.
Other logistics decided included: scheduling art drop-off and hanging (suggested dates around Memorial Day weekend), a volunteer label‑assembly day the week before installation, and assigning staff to confirm facility availability (Carl and library staff were cited as potential logistics partners). Commissioners emphasized that moving artwork multiple times would create added workload and preferred a single-site hanging plan unless volunteer capacity allowed otherwise.
The poetry selection process and author communications were delegated to staff; one commissioner volunteered to prepare acceptance/rejection letters for selected poets. Commissioners also discussed honorarium amounts for readers and event participants and asked staff to confirm prior honorarium levels before finalizing pay.
