Staff urged to research operational software; Hansen approved to attend Civic symposium

The Village of Roscoe Committee of the Whole on July 15 approved a request for Hansen to attend the Civic Symposium in September 2025 and discussed broader operational software needs for village staff, including timekeeping solutions and other administrative tools.

Hansen, who asked for approval, said the Civic Symposium is run by the village’s finance software vendor, Civic, and that she had budgeted funds for the trip. Hansen said she attended earlier symposiums and wanted to “see what's new, see what's upgraded, see what I'm missing out on,” noting the symposium is two days away from the office and that funds were already appropriated in the budget.

Committee members and staff discussed software needs for the village. Justin explained that the village has a small staff and that a timekeeping or timesheet-preparation tool had become “a little too cumbersome” for administrative staff and department heads. Justin said the timekeeping tool would be a high priority to investigate at the symposium.

Anne (staff) queried whether the Civic system updates could be reported back to the committee; another member noted Civic primarily covers finance functions including payroll and accounts payable. Chief Holly and Troy were mentioned as having discussed the need for timekeeping with staff.

Committee members asked staff to research additional software options beyond timekeeping, including newer AI-enabled tools that could reduce repetitive paperwork. Anne and Hansen said they would bring findings and proposals back at the committee meeting after the symposium; the committee asked that the topic be returned in September.
