Trustees hear facilities report: open work orders, HVAC delays and custodial vendor transition

Facilities staff told the Newberry County Board of Trustees on Sept. 22 that the district had 318 open work orders with an average age of 35 days, flagged several HVAC units requiring custom engineering and described a custodial-provider transition planned for Dec. 1.
Presenting the August work-orders report, a facilities staff member said there were 134 new requests and 671 completed work orders in the month; the system backup reportedly produces a multi‑page report documenting completed items. The presenter said the average daily age for completed work orders was six days but noted a subset of open orders is older and awaiting parts or replacement equipment.
Trustees were briefed that several HVAC models in district buildings are no longer manufactured, requiring engineered replacements that extend timelines. The presenter said, “We’re having to have a new system engineered for that space,” and that those projects can take longer because replacement parts or compatible units are not readily available.
The report also covered access control. Facilities staff said the district is phasing out legacy door locks and installing modern card readers that allow tokens to be paused or cancelled if lost; that, staff said, improves security and simplifies rekeying an entire facility.
Trustees raised custodial concerns. The presenter said the district has experienced turnover in custodial staffing and that a new custodial contractor will begin service on Dec. 1, with a transition planned over Thanksgiving week. Staff said the new vendor will handle hiring for custodial roles and that additional evening supervision is being considered to improve classroom cleanliness. Trustees also raised specific supply concerns, including a report that toilet paper was not being supplied at Mid Carolina High School; staff said they would investigate.
No formal action was taken; the work-orders report was provided as information and staff said they would return with follow-up details as needed.
