Keystone Central staff fine-tune Tyler Tech rollout and consider state-style monthly budget format

District staff told the finance committee on Sept. 12 that the Tyler Tech financial system went live July 1 and that staff are still learning reports and fine-tuning account and reporting mappings.
"Tyler Tech, we went live July 1 as we discussed. We are still, fine tuning and learning about reporting and making sure that everything is being expensed correctly, re reported correctly," a staff member said. Staff described Tyler Tech as "a very nice program" but noted the district is still identifying where key fields and date columns should appear to satisfy auditors and board requests.
Board members discussed a separate item: adopting a monthly reporting format that mirrors the Pennsylvania Department of Education (PDE) category structure (100, 200, 300 series) to show current-year spending, percent spent, and prior-year comparisons. "Use a similar format that you already have to do for PDE, and we can then together customize what other columns we wanna see," Elizabeth Lynch said, offering an exemplar she had obtained from another Pennsylvania district.
Staff cautioned that some PDE forms are annual or transportation-specific and said the goal should be to adopt a familiar format rather than replicate a form intended for a different annual use. "We need to peel this particular form away from the format because this is a once a year report that I use to make about transportation," a district staff member said. Staff agreed to investigate whether Tyler Tech can produce a monthly extract in a PDE-like layout and to work with Tyler Tech support on examples.
Actions agreed in the committee included Elizabeth Lynch offering to email the example report to members and staff, and staff committing to ask Tyler Tech support for sample outputs that could be adapted for the board. "I'll email this to you tomorrow morning, Tracy, and I'll just carbon copy all the board members," Lynch said. The committee asked that reports include percentage-of-budget and a payment-date column to help auditors and board oversight.
No formal policy vote was taken; the topics will be explored further and discussed with administration and auditors before any change in the monthly reporting package.
