District to transition board agenda platform to Diligent Community; cost about doubles with archival migration

District staff told the Minooka Community Unit School District Board of Education that the BoardDocs platform will be phased out and the district must transition its agenda-management system. Staff recommended Diligent Community as the successor platform and said Diligent will migrate archived BoardDocs documents into the new system.

Staff reviewed features and said the Diligent Community platform offers a more modern interface, advanced search and annotation features, and provides a seamless archival migration so historic agendas remain searchable. Staff noted the district’s estimated annual cost would increase from about $3,200 to approximately $6,000, but that the district negotiated a lower percentage increase over a longer contract term to reduce aggregate cost.

Staff said the district will perform a phased transition over several months, keep BoardDocs available as a read-only archive during migration, and schedule user training for board members. The board was informed that the next meeting will include a request to authorize the transition process.
