Manufacturer agrees to resurface school track after defect; schedule and warranty details pending

The Board of Education Operations Committee was told Monday that the polymer manufacturer and installer of the high school track have agreed to cover a full resurfacing and repainting after staff and the architect identified defects. The agreement was announced during the maintenance and facilities update, where Facilities Director Mr. Deptula said the installer and the polymer manufacturer examined the surface and concluded the problem was a material defect. "They are going to cover resurfacing and repainting the track a 100%." Deptula said. He added that minor repairs to tears and a small defect will be made in the next two to three weeks while the parties work on scheduling a full recoat. The issue was first raised publicly in a written statement read into the record from resident Caroline Reyna, who asked whether risk management had coordinated with the town and the Board of Education and requested an accountability timeline including when the first track issue was reported and when the installer was contacted. The committee chair confirmed those questions would be addressed during the administrative update and staff follow-up. Committee members pressed staff for written confirmation of the manufacturers' commitment and for a schedule that minimizes disruption to fall sports. Deptula said the manufacturer's president visited from the Carolinas and that the companies are working on a timeline; he said written documentation of the agreement is expected once the repair/recoat is scheduled. On warranty, Deptula said some part of the original five-year warranty has lapsed and that final warranty terms for the new work are not yet confirmed. Staff also agreed to add the track to the district's project summary and the waterfall plan so the committee can monitor repair scheduling and completion. The committee requested that staff provide a written update and any warranty or agreement documents at a future meeting. Background: Facilities staff first noticed unusual wear patterns in June and received photos of damage in early July. The architect and contractor inspected the track, then involved the installer and the polymer manufacturer. The committee was told the immediate repairs are relatively minor but that a full recoat would be preferable; timing depends on athletic schedules and suitable weather for resurfacing.
