Kane County to move benefits open enrollment into existing New World eSuite module after vendor change

Kane County staff told the Human Services Committee Wednesday that the county will switch its benefits open-enrollment platform from a third-party vendor, Smart Ben, to the county's in-house New World Systems eSuite module after the vendor restricted service to employers with more than 5,000 employees.
Jamie said the county already owns and operates the eSuite module used for pay stubs, W-2 forms and vacation accruals and that the module will host open enrollment this year. "This will be overall a lower cost," she said, while acknowledging some implementation work is required.
Staff emphasized an important action item for employees: any dependent a worker plans to add during open enrollment must already be entered in eSuite with name, birth date and Social Security number before the October enrollment window opens. Instructions were included with the notice to employees and HR will send reminders.
Why this matters: staff said the move leverages existing county infrastructure, eliminates the third-party vendor cost in future years, and allows employees to use their existing eSuite sign-on rather than learning a new system.
