The full project bid from the lowest general contractor totaled roughly $265,000 for base work and an additional approximate $120,000 for a shelving alternative; combined contractor bids therefore suggested a project near $385,000. The trustee said roughly $312,000 is available when the committed CPA funds and bequest are combined, leaving a gap. The trustee asked for an additional $60,000 to cover unanticipated costs—book moving and storage, additional heating work (estimated at $10,000), shelving arrangement uncertainties and contingencies—so the project can proceed this fiscal year.
Project scope: the rehabilitation covers replacement of antiquated knob-and-tube wiring, HVAC improvements, ADA improvements to bathrooms and circulation, reconfiguration of shelving (perimeter shelving proposed) and related interior restoration. The presenter said moving and climate-controlled storage for the collection has been quoted at about $15,000 and is not included in the contractor base bid.
The committee discussed project oversight; the consultant/engineer (FSV) engaged for design work is contracted and will coordinate with the general contractor. The presenter said a local shop (Monitec) may build shelving at material cost but scheduling and firm pricing are not yet confirmed. Committee staff recommended drawing the $60,000 from the unbudgeted reserve to avoid draining the historic resource bucket and to ensure the project can be completed this year.
The motion to forward $60,000 from the unbudgeted reserve to the Boynton trustees, in coordination with the select board, passed unanimously: Dennis yes; George yes; Joanne yes; Carrie yes. The committee instructed staff to draft warrant language, to document bids and invoices, and to require standard procurement and reimbursement paperwork before releasing funds.
