An IT staff member demonstrated a newly migrated Agenda Meeting Management Center that centralizes meeting calendars, downloadable agenda packets and attachments, and search tools for city meetings, including boards and commissions.

The demonstration showed how members of the public can use a calendar widget to jump to specific meeting dates, download a single PDF packet that contains the full agenda and attachments, view a cleaner meeting overview, search agendas by content or date range, and share meetings when logged in.

The IT staff member said the city has “completely migrated over to the new agenda meeting management center,” and walked through clicking a calendar date, opening an agenda, downloading the full agenda packet and individual attachments, and using a meeting overview. The presentation repeatedly noted that if a meeting has no agenda posted yet, the calendar will show the event without the agenda icons. The staff member closed the demonstration by advising, “As always, if anybody has any questions, contact the IT IT department. Take care, and stay cyber safe, my friends.”

No motions or votes were recorded during the presentation; the session was informational only.

Why it matters: centralizing agendas and attachments can make it easier for residents, board and commission members, and staff to find meeting documents and to download a single packet for offline review. The new interface also provides search and sharing features that the presenter said replace older, more difficult-to-update tables.

Details shown during the demonstration included a calendar view with bolded dates linked to meeting events, a download button to save a single PDF agenda packet, individual download icons for attachments such as minutes, and a meeting overview that presents agenda items in a cleaner layout.
