The Bay City ISD Board of Trustees on Aug. 19 approved a targeted revision to its board operating procedures intended to clarify how district leadership communicates with trustees, including emergency-notification protocols.
Trustees voted 6'0to'0 to approve the revised operating procedures after staff removed a prescriptive "weekly" requirement and instead gave the superintendent flexibility to provide regular updates "through his letter or email or his decision on how he wants to roll that out," according to the board discussion.
The board book shows the edits under the section on communications to board members (page 57) and a related change on page 62 regarding the superintendent's communications. Trustees asked for one specific wording change during the meeting: removing the requirement that the communication be "weekly." A motion to approve the operating procedures "as presented with that one correction under communication" was made and seconded; the board then voted to approve the change 6'0to'0.
Board members and staff also discussed a protocol for emergency communications so that the superintendent would not need to contact trustees individually by text. The revised protocol calls for an initial one-way group notification (the district noted it will use the ParentSquare system for first alerts) with ongoing updates provided either by the superintendent or by district staff, followed by a summary communication once the incident is resolved.
During the discussion a staff member noted how trustees can link multiple ParentSquare accounts so they receive notifications for district families without logging in and out. The meeting record shows trustees agreed to the edit and directed staff to update the document and post the revised procedures to the district website.
