Committee staff presented a year‑to‑date budget update showing that advertising and promotional costs exceeded the line-item estimate. Staff said the report includes recent costs for canopies, weights and T‑shirts, and proposed adding a small budget line for humanitarian award winner swag in next year’s budget.
Members noted that some printed materials contained errors: meeting dates, member counts and individual names in brochures and business cards were incorrect in places. Committee members asked staff to correct brochure member listings (one brochure listed seven members while five currently serve) and to update business cards and brochures before upcoming events; the committee agreed the website could carry member listings rather than repeatedly printing names in brochures.
Staff also noted that an MLK Day sponsorship had previously been budgeted but not finalized and that community conversation actuals remain zero because honoraria and donations have not yet been disbursed. Committee members asked staff to carry forward accurate, itemized costs into next year’s planning so the committee can better project expenses.
