At a recent community garden committee work session, committee members said they need to pay Webloom for event signage, requested an additional $1,000 for this year’s Butterfly Party, and confirmed the fall sweep dates for Nov. 3–16. Committee members said they currently do not know how much remains in the committee’s budget.
The committee discussed an unpaid invoice for event signs from vendor Webloom and the physical signs’ availability. “The signs are ready. Christian, I have those in my Jeep,” a committee member (Speaker 1) said, adding the signs would be available the next morning for placement.
Members revisited the Butterfly Party budget. The committee spent $1,000 on the event last year and a member asked to increase the allocation to $2,000 this year, an increase of $1,000. The member described a plan to buy five banners at about $200 each and estimated about $500 for supplies and $500 for butterflies, saying those were similar costs to last year.
Committee members asked Christian to check the committee’s expenditures and remaining funds so they could confirm whether the additional money was available. “We have 0 visibility into how much money we’ve spent or are allotted,” one member (Speaker 1) said. Christian said he would check with the office to determine how much of the budget is already expended.
The committee confirmed the fall sweep will run Nov. 3–16, and said they will again run a citywide Adopt-a-Spot cleanup, asking volunteers to document bags of trash collected and submit photos so the committee can report totals to Keep Texas Beautiful.
No formal motions or votes were recorded during the discussion; members documented next steps to check budget availability and to arrange logistics for signs and banners.
The committee also discussed vendor placement for Bring It, saying vendors will be asked to set up on Municipal Street to reduce congestion at the Courtyard entrance. That change is intended to reduce traffic jams caused when vendors arrive earlier than event volunteers.
Committee members asked staff to report back with confirmed budget numbers before committing to additional event spending.
