The Williamson County Board of Commissioners approved moving forward with a cloud-based enterprise resource planning accounting system meant to consolidate payroll, human resources, fixed assets and accounts payable into a single platform. Staff presented an initial implementation estimate of about $212,085 plus roughly $33,055 in travel and on-site costs, and said first-year payments could total about $225,009 depending on final travel expenses.
The county’s presenter said the chosen vendor will provide “general ledger, accounts payable, cash receipting, accounts receivable, fixed assets, payroll and resources,” and that the system will allow departments to process approvals remotely and attach invoices electronically. The presenter said the vendor estimated a go-live in July or August of next year if the contract is signed by the end of the month.
Board discussion focused on cost, timing and training. A staff member explained, “If we can sign the contract by the end of the month, implementation go live date would be July or August of next year,” and added the vendor will provide on-site training and a project manager. The presenter said the county had budgeted $400,000 for the project and expects roughly $85,000 of the cost to fall in the current fiscal year with the remainder in later years.
Commissioners asked about the payment schedule and whether the vendor’s price proposal remained current; staff replied the bid date in the vendor quote was outside the vendor’s 30-day bid window and recommended refreshing the quote before finalizing. The board made a motion to accept the vendor proposal and proceeded with a roll call vote.
The board approved the contract authorization and asked staff to work out final payment timing and contract date adjustments before signing.
