Staff reported to the Parks and Recreation Committee that rentals and events rose in August, an event management RFP is under review, the fountain continues to require maintenance, and the restroom experienced vandalism that required replacement of a urinal.
Events and rentals: Parks staff said August was busier than July, with several large rentals including a university celebration at the North Meadow and steady pavilion reservations. Staff reported that an RFP for an event manager/promoter was issued and due on the 16th of the month; one proposal had already been received at the time of the meeting. The staff member said the RFP allows respondents to propose a revenue‑share or alternative business models and that staff will evaluate submittals when the RFP period closes.
Operational support and weekend staffing: staff said Tony’s clean team provides weekend presence (two staff members) and carries a credit card machine for same‑day rentals; the weekend staffing correlates with higher weekend rental activity in August, staff said.
Fountain and pump protection: staff reported that the fountain remains popular but continues to need filter work and cleaning to address discoloration and debris. Committee members discussed adding a low fence or barrier around the pump equipment to prevent public access; staff said they were pursuing scaled‑down fencing options that would be visually minimal but protect equipment.
Vandalism and safety: staff said the park experienced a vandalism incident in which a ceramic urinal was broken a few months earlier; the urinal was replaced with a waterless fixture and staff said they filed a report. Staff noted cameras cover exterior areas but not interior restroom fixtures.
Maintenance and contracts: BrightView was identified as the landscaper that handles trash pickup during the week, and the town’s TCT (temporary crew) handles weekend trash for events. Staff also reported ongoing work to remove a large eucalyptus branch from a building and that a tree‑trimming and clean‑up effort has been underway across the park.
What’s next: staff will review RFP responses for event management, continue fountain maintenance and filter work, pursue a fence option to protect pump equipment, and follow up on the vandalism report. The committee set an October walk‑through date and asked staff for updates on the RFP and on fencing options prior to the next meeting.
