Commissioner Don asked for a simple monthly worksheet that shows the clerk's disbursement report alongside the treasurer's numbers and, if they do not match, an explanation on the same page. "Can we each, every second meeting of the month, get a report from the two of you that shows the expenditures and the disbursements? And then if they don't balance ... can we get a balance sheet per se that shows us why you don't balance?" he asked.
Clerk Katie and Treasurer Kathy said they have been working long hours to finish year‑end reports and said June figures were still being completed. Kathy said the county's June fund balance report would be provided when it is finished and that staff use notes on the bottom of their reports to explain adjustments; she agreed to provide copies to all three commissioners. "Once we do it, we need to do a copy," she said, referring to a reconciliation note she keeps when making adjustments.
The commissioners asked that the clerk and treasurer produce a one‑page monthly reconciliation that lists the clerk's disbursement totals, the treasurer's totals, and a short explanation line for any difference. Katie said she, Josie and Ashley have been working on end‑of‑year reporting but that June was not yet complete; she agreed to provide the June reports to the commissioners when finished.
No formal vote was required; the board directed staff to provide the requested reconciliations and to produce a recurring spreadsheet for review during the budget process. Commissioners said the reconciliation is needed for accurate budgeting and to avoid having to retroactively search for corrections after fiscal‑year close.
