Rye Brook to adopt new payroll vendor and approve budget transfers for traffic study and equipment

The Rye Brook Board of Trustees on May 13 authorized a master services agreement with AccuData Corp. of Hicksville to provide payroll processing and human-resources-related services beginning June 1, 2025, and approved several budget modifications to recognize state reimbursement funds and to create a capital project for a joint traffic, parking and pedestrian study with the Port Chester School District.
Chris described the AccuData agreement as a one-year master service contract with an automatic renewal option. He said the platform will replace several existing point solutions, centralize payroll, recruiting, onboarding, time and attendance, benefits administration and ACA compliance, and is expected to cost equal to or less than current platforms. Chris also described transition planning that has already started with Springbrook (the village financial system) and AccuData to ensure continuity and to avoid payroll disruption.
On capital transfers, the board recognized roughly $26,002.91 in reimbursement funds from the New York State PAVE New York program to be applied to road resurfacing. Separately, the board approved a $30,000 transfer from contingency to establish a capital project for a traffic, parking and pedestrian study to be carried out jointly with the Port Chester School District. Chris said the school district has indicated a willingness to split the cost; the RFP for the study is out and proposals are due at the end of the month.
The board also approved a transfer of $16,006.58 from contingency to purchase vehicle routers for police cars and made several small capital housekeeping transfers to close older projects and return balances to the general fund. All motions were approved by unanimous roll call.
Staff said the AccuData transition is planned and the treasurer’s office will manage the data migration and any brief overlap between systems; the village emphasized that ensuring staff are paid on schedule is the top priority during the changeover.
