The Parks and Recreation Commission voted on Feb. 27 to allocate up to $3,000 from its special-events line to sponsor the City of Windcrest Spring Egg Extravaganza at Brook Falls Park on April 12, from 10 a.m. to 1 p.m.
Rachel (staff) told commissioners the special-events line item (account 506460) was allocated $21,000 for the fiscal year and that the commission’s current special-events balance stood at $18,717. She presented event line items including event goodies listed at $1,983.34 and a separate entertainment estimate of $2,533.34; staff asked Parks to sponsor the event from its budget rather than charging the city general fund.
“We do also have our summer events, So that's kind of the discussion I wanted to have because that usually takes about 5,000 out of the budget,” Rachel said, describing the seasonal spending pattern for Parks special events.
Staff reported plans for approximately 4,000 eggs across the Brook Falls Park parameter; some eggs will contain candy and others small gift prizes. H‑E‑B has approved an application to donate gift cards to be used as prizes, and staff said a vendor outreach list includes popcorn and potential snow-cone vendors.
A commission motion to set aside up to $3,000 to support the April event carried by voice vote (commissioners raised their hands) and the chair said the motion passed. The motion was seconded and commissioners discussed reserving the amount to cover event goods and entertainment; staff noted refreshments and vendor participation would be finalized as planning proceeds.
Ending: Staff will finalize vendor agreements, confirm donations, and return at a future meeting with any additional budget specifics or changes to the event scope if needed.
