Middleburg council authorizes $28,459 server purchase to upgrade town network

The Middleburg Town Council on a 6-0 roll call authorized the town manager to approve quote number 004781 from Vision Technology Group for a new network server, $28,459.60, to replace an aging on-site machine used for user authentication, network drives and the town's locally hosted financial system.
The server purchase is intended to bring the town onto a current version of Windows Server and to keep the financial system supported in-house, staff said. Town staff told the council they had already seen quotes rise during a short window between the first estimate and final quote and urged the council to approve the purchase to avoid further tariff-driven increases.
Council member Kevin Daley moved the authorization, saying, "I move that the town council authorize the town manager to approve quote number 004781 from Vision Technology Group for a server in the amount of $28,459.60." The motion was seconded and passed on a roll call in which Vice Mayor Bernard, Council member Curran, Council member Daley, Council member Jacobs, Council member Kirk and Council member Pearson recorded "Aye." No "No" votes, abstentions or absences were recorded in the minutes for that motion.
The manager and staff also told the council they plan to ask the council later this year to raise the town manager's procurement authority in the municipal procurement ordinance to reduce future delays for purchases that may be affected by changing tariff or supply conditions.
The town will direct the IT vendor to proceed with ordering and installation once the manager signs the quote. Staff said the purchase will be coordinated with the town's new IT provider and that implementation will include migration to the supported Windows Server release.
The council did not place additional conditions on the purchase during the meeting. The server authorization was recorded as routine business in the meeting minutes and is scheduled to appear in the next regular meeting packet with documentation of the quote.
