The treasurer and staff explained the compressed timeline for solicitation and that a shorter RFP window will still allow the county to receive bids in time for the summer mailing schedule.
During discussion a commissioner asked whether the machine would generate measurable cost savings or reduce staffing needs; a county staffer explained a machine with the expected capabilities can fold and process roughly 3,500 envelopes an hour and would free employees to perform higher-level tasks. The board voted to approve issuing the RFP; no specific vendor or purchase amount was approved at the May 6 meeting.
The RFP will proceed on an accelerated timeline so the county can procure and commission the equipment before the summer tax mailing. The purchase is expected to be paid from county-held revolving funds; staff will return with procurement results and any recommended contract for board approval.
