The Warren County Tourism Committee on an unanimous voice vote approved a resolution to authorize a contract with the successful bidder for the creative design and printing of the county travel guide, with the bid amount capped at $175,000.
A tourism staff member told the committee the $175,000 cap covers the creative design of a 104-page book plus cover, production of about 20,000 copies and shipping to nine locations in New York state, including distribution within Warren County. "The bid amount will not go above and beyond a hundred and $75,000," the staff member said. "That is for the creative design of a 104-page book plus cover and 20,000 pieces ... as well as the production and the shipping from the production company to 9 different locations throughout New York State, most importantly to us here in Warren County to get them out to our businesses."
Supervisor Ryan noted the committee will not name the vendor or final amounts until bids are opened and said the resolution will be amended at the full Board of Supervisors meeting to insert the awarded numbers and the vendor name. "This motion, this resolution will be subject to an amendment at the board meeting to add the actual numbers ... and of course, the name of the vendor," Ryan said.
Committee members also confirmed the expense is included in the county budget; the staff member said the project is already budgeted and therefore will not require funds to be moved from other accounts. The committee first approved the March 24 minutes before taking the resolution vote.
Next steps: staff said bids are currently out and should return before the Board of Supervisors meeting, at which the resolution will be amended to include the final award amount and vendor name.
