Staff presented a draft RFQ and said three vendors had already expressed interest; the proposal is intended to update the council chambers streaming and sound system. City staff recommended a posting period sufficient to gather competitive responses.
Council members discussed how long the RFQ should remain open; staff and council settled on a multi‑week posting to align with the council’s meeting schedule so responses can be considered at the next applicable meeting. One councilmember said three weeks would bring proposals in time for the following meeting.
A motion to authorize staff to prepare and issue the RFQ was made and seconded; the council approved the action and directed staff to proceed with vendor outreach and posting. Staff indicated previously engaged vendors (including one vendor that worked on prior upgrades) would be invited to respond.
The RFQ will include technical specifications for medium‑use streaming and sound and will be evaluated when submissions close. Further evaluation and vendor selection will return to the council or appropriate procurement authority.
