Commission approves five-year, $69,461.10 DocuWare renewal for county records

Commissioners discussed user adoption and departmental interest. Denny said county staff conducted a demonstration earlier in the year and departments have expressed interest, but moving records into a paperless environment “takes a lot of time and thought.”
The motion to approve the renewal was moved by Commissioner Vaughn and seconded by Commissioner Vickery; the vote was unanimous. The board did not attach additional funding conditions or direct a separate appropriation during the meeting.
Why it matters: The renewal continues use of a cloud or hosted document-management system across multiple county departments and carries a multi-year financial commitment. Denny emphasized the workload involved for departments to transition to paperless records.
Next steps: County staff will proceed with contract execution and departments that wish to adopt DocuWare further will coordinate implementation and user migration.
