Board adopts AI and combined responsible-use policy for district devices

The Coffee County Board of Education unanimously adopted an artificial-intelligence policy and a combined Responsible Use Policy (RUP) for district technology during its Oct. 11 meeting.
Technology and policy staff presented the AI policy as aligned with the Tennessee School Boards Association (TSBA) model; staff said the district’s RUP was reworded to be suitable for both staff and student acknowledgement and to be included in the online registration workflow for families.
Staff explained the AI policy requires teaching proper use before students are permitted to use AI tools, limits use for cheating and emphasizes privacy and compliance with state and federal law. The presenter noted that teachers should model responsible use and that students must have teacher permission to use AI for class activities.
District staff also confirmed the RUP will explicitly name the district’s Google Workspace account and add a reference to voice recordings where needed for certain services. The RUP replaces two previous policies (staff and student acceptable-use forms) and will be incorporated into parents’ online registration to make consent and acknowledgement routine at the start of the school year.
The board voted to adopt the AI policy and to accept the RUP as presented. The motion to accept the AI policy was made by Jimmy Anderson and seconded by a board member; the AI policy and the RUP passed on recorded ayes (7–0). A staff presenter summarized the substance to the board: "Students are not allowed to use [AI] for cheating," and teachers "are supposed to model responsible use."
Administrators said folding the RUP into online registration should reduce delays and improve compliance; the RUP will include a staff sign-off and a student/guardian sign-off so all users understand expected behavior and privacy safeguards.
The board asked staff to ensure the RUP and AI policy text are mirrored in the district’s Responsible Use Procedures (RUP procedures) and to coordinate with TSBA when the association publishes any model-policy amendments.
