Summary
The board approved an updated memorandum of understanding with the West Lafayette Police Department for school resource officers and authorized a districtwide copier lease and buyout through Toshiba under the state QPA, consolidating multiple contracts into one.
The district approved two operational items during the regular meeting: an updated memorandum of understanding (MOU) with the West Lafayette Police Department for the SRO program, and a consolidated copier lease and buyout through Toshiba using the state quantity purchase agreement (QPA).
Superintendent Dr. Greiner said legal counsel had reviewed the updated SRO MOU and confirmed that a school resource officer (SRO) will be assigned to every building. The district and the police department are working toward consistent, building‑assigned officers; the police department is also pursuing an additional grant that could fund a dedicated officer per building in the future. The board approved the MOU as presented.
On copier equipment, staff recommended consolidating multiple leases and service contracts into one districtwide lease with Toshiba (state QPA contract 5883). The proposal included Toshiba buying out the district’s existing leases and replacing them with a single five‑year lease totaling $3,819.17 per month; the service agreement charges per‑page fees (monochrome $0.0028, color $0.029) and includes maintenance, toner and supplies. Staff said the change is expected to save roughly $25,000 per year versus the current mixed leases, and the buyout option means the district will own the equipment at the end of a 60‑month term.
Board members asked that staff provide monthly usage data after implementation so the district can monitor printing costs and discuss paper‑savings opportunities with staff.
