Committee members said the tenant’s activities use district assets heavily in the evenings and on weekends and that contract terms should reflect actual usage, maintenance responsibilities and any shared use of scoreboard or video systems.
What was discussed: Staff said the PA currently uses turf fields and had requested permission to use an old field-hockey grass field near Fifth Street that district staff currently mow but rarely mark or schedule. The presenter said the district would not be expected to provide field markings or ongoing maintenance beyond mowing; if the organization needs lines or upkeep, they would be responsible.
The contract term discussed is three years. Committee members asked staff for usage hours and other metrics; staff agreed to provide the number of hours the PA used district fields during the past year. Committee members also discussed whether the organization or tournament operators could hire trained district students to operate inside scoreboards and how any revenue or fee arrangements would be handled. Staff said the scoreboard software is available for district use and said staff would consult with legal counsel and contract administrator Jeff before finalizing scoreboard-related provisions.
Next steps: Staff will provide a usage-hours summary, finalize contractual language for the grass-field addition if the PA will use it, and route a final draft to the district solicitor and contract administrator for review before placement on the board agenda.
