General Government Committee asks administrator to develop standard Polk County email signature templates

Supervisors discussed a proposal to standardize Polk County email signatures and asked the county administrator to work with department heads to draft templates that include the main Polk County logo.

The administrator presented several visual treatments showing horizontal and vertical signature options, variations with single and dual logos, and optional tagline or pronoun lines. The packet noted potential software and administration costs to implement signature templates across Microsoft 365—rough initial estimates were about $6,000 per year for additional software to control signatures.

Supervisor Jeremy Hall asked that the Polk County logo appear in each signature block while allowing departmental logos (for the sheriff’s office, Golden Age Manor, etc.) to remain. Another supervisor said pronoun lines should be removed from standardized signatures; supervisors agreed to ask the administrator to prepare a uniform approach that would include the Polk County emblem and permit other departmental branding as needed.

No formal resolution was adopted at the meeting; the committee asked the administrator to draft templates in consultation with department heads and to return with a plan for implementation and estimated costs.
