The vendor presented a demonstration to the visitor committee earlier in the year; the committee initially expressed concern over price. Staff said Placer negotiated a reduced three‑year package that lowered the first‑year cost to approximately $11,000 with year‑two and year‑three amounts of about $12,000 and $13,200, respectively. County staff said the vendor would provide data sets useful to grant applicants and event organizers and that the contract included public‑records and data‑privacy clarifications.
One member of the board said the service would give the county “real” information on visitor origins and event draw beyond camping reservation counts, allowing better targeted marketing and grant evaluation. Another commissioner said the price, while substantial, represented a small fraction of annual lodging tax revenue and could be budgeted across the next fiscal year.
Visitor committee members who saw the original pricing did not unanimously endorse the purchase; staff said one committee member sent a written comment in favor after staff secured the lower three‑year price. Commissioners asked staff to forward the contract to the county attorney for review of public‑records handling and to confirm the payment schedule and budget lines for the first year.
Privacy and public‑records Staff said Placer AI supplies aggregated, anonymized data and that the vendor addressed the county’s public‑records questions. Commissioners requested written language showing how the vendor will respond to public‑records requests and what aggregated outputs the county will receive.
Next steps County staff will submit the vendor contract to the county attorney for legal review, confirm the invoicing schedule and return to the board with any recommended edits or funding clarifications.
