District staff told trustees they will bus every graduate to NRG to ensure students arrive on time and in the correct procession order. Each bus will include at least one chaperone and deputies will be present on the stadium floor; NRG staff will supply security in the stands. The district also plans contingency buses and floor teams to manage any students who miss buses or require compliance checks after arrival.
To keep the ceremony within the projected time frame, the district plans to alter photography logistics: formal diploma-cover photos will be taken on the floor after graduates leave the stage rather than at the stage edge. District staff said moving formal photos off-stage reduces “bottlenecks” and speeds name-calling cadence so families can hear graduates’ names called. A district photographer (identified in the meeting as Mr. Marroquin) and an additional district photographer will take candid and staged photos on the floor.
Audio-visual arrangements include live streaming coordinated through NRG for families unable to attend in person. Staff also said they will have an AV monitor to ensure speakers remain on the approved script and will cut microphones if needed.
Board discussion focused on balancing tradition with logistics. Trustees and staff discussed ways to preserve customary acknowledgements (for example, naming which board member presents a diploma) while ensuring the procession keeps moving. Staff said they will solicit board preferences about which graduates the district should prioritize for on-floor posed photos (for example, graduates who want a photo with a specific board member), and will bring back a refined plan.
District staff additionally noted parking at NRG will be $25 per vehicle (card only) and that the district had confirmed arrangements for crowd control and hospitality. The district will provide more detailed logistics and passes to trustees closer to the ceremony date.
The presentation concluded with staff saying they were “excited” after a site visit and that they will continue to refine procedures to preserve Sheldon ISD traditions while meeting the practical time and safety constraints of a large, stadium-based commencement.
