Ames City HPC agrees to be named sponsor of ‘A Glimpse Inside,’ names representatives and tables funding decision

The Ames City Historic Preservation Commission voted to be listed as a sponsor or partner of the community event “A Glimpse Inside,” designated commission members Devon Lewis and Kate Gregory as its official representatives on the event committee, and tabled a decision on whether to provide event funding until the May meeting.

The motion approved at the meeting combined three elements: (1) defer a decision about commission funding until May so commissioners can assess Preserve Iowa Summit attendance and commission budget needs, (2) name Devon Lewis and Kate Gregory as the commission’s representatives on the A Glimpse Inside planning committee, and (3) authorize the commission to be listed as a sponsor or partner on event materials “with or without funding.” The motion carried on a voice vote; no roll-call counts were recorded in the transcript.

Shelley, a member of the planning committee who addressed the commission, provided a preliminary event budget and described planned expenses and in-kind contributions. Shelley said the estimate was “preliminary” and added the commission had sought quotes from local printers and a graphic-design student group for design work. She said the budget assumptions included printed posters and easels at each featured property, bollard banners downtown, window posters on Main Street, trifold brochures, leaflets to distribute at the farmers market, signage directing visitors to properties on the day of the event, water for docents, a donation to the Iowa State Graphic Design Student Association for design work, and a contingency line because the committee had not run an event of this scale before.

Committee members said they expect volunteer support: Downtown Ames will provide in-kind publicity, student designers are participating, and the organizing group anticipates needing about 30 docents and additional volunteers for setup and logistics. The planning group has partners identified so far including the Old Town Neighborhood Association, the Ames History Museum and Downtown Ames; Shelley noted Avec is participating on the planning committee as well.

Commission discussion also addressed possible city funding. Commissioners suggested the planning group or the event’s organizing body approach the City Council for funds and that the commission could write a letter of support; staff confirmed a past City Council planning-session comment that councilmembers were receptive to sponsoring community events. The commission agreed to consider how many members will attend the Preserve Iowa Summit and what portion of the commission budget might be used to subsidize registrations or travel; that funding decision is scheduled for the May meeting.
