District staff outline timing for student nutrition contract RFP as current contract enters final extension year

Mr. Sean Dilday briefed the Springfield R-XII Board of Education on the district's student nutrition management expenditures and the timeline for the next procurement cycle.
Dilday said the original RFP was issued in 2021 as a one-year contract with option years that could extend the agreement to a five-year total. "This is the final extension of that existing original contract," he said, and staff plans to issue a new RFP in the fall of 2025 and return a recommendation to the board in February 2026 on whether to keep the incumbent vendor or select a new provider.
A board member asked for clarity on the procurement calendar and how many months in advance the RFP would be released. Dilday said he would coordinate with the purchasing department over the summer and target issuing the RFP early in the fall so there is a full review period in January before the board considers proposals in February.
The presentation was informational; board members were told they will vote on student nutrition expenditures at the Feb. 25 meeting. The meeting record does not show a formal motion or vote on the contract at this session.
