Board approves 12-month extensions for 11 after‑school and summer program contractors

Staff asked the board to approve amendments extending the existing contracts for up to 12 months each, with the option to repeat extensions annually for up to five years (maximum extension period: 60 months) if the organizations continue to meet the requirements.
The presenter said the 11 organizations operate a total of 38 after‑school sites and 18 summer sites. Staff reported the contracted programs serve 1,184 children in after‑school programming and 538 children during summer programs. The presenter also said that next month staff will return with recommendations for new applicants; the extensions are intended to ease administrative burden for long‑term partners while leaving the opportunity open for new organizations to apply.
Board members asked clarifying questions about the paperwork and late materials; staff provided copies of three proposals that arrived after the board packet was issued. A board member moved to approve the contract amendments and another board member seconded the motion; the chair called for the vote and the motion carried by voice vote without opposition.
Staff emphasized that the extensions are conditional each year on (1) the contractor meeting annual requirements and (2) library budget approval by Metro government; the extension takes effect only after Metro’s annual budget process confirms funding.
The board recorded no amendments to the contract language during the meeting and provided no additional direction beyond approving the recommended extensions.
