City staff told the commission they are working on solutions: the manager said an Outlook‑based calendar and a log system would show annex and conference‑room availability, and staff would meet with commissioners to identify a dedicated space in the annex building. Staff also committed to addressing vehicle‑use procedures if the commission directs that a vehicle be dedicated to the commission.
Commissioners pressed for transparency about how earlier practice changed and asked staff to return with a concrete plan and timeline. Several commissioners said they would prefer an office or commission conference room reserved for their use and asked staff to restore past access when appropriate. The manager said staff would bring proposals and that the annex calendar and keyholder procedures were being set up.
