Committee reviews multiple IT renewals, BCIU extension and one-time Canvas conversion

The finance committee on April 10 reviewed a package of information-technology renewals and related services that staff said are budgeted and intended to continue supporting district operations.
Anthony Rapp summarized the major items: a proposed 38-month renewal of the Barracuda email-archiving service at a total cost cited in the presentation of $62,700 (about $1,650 per month), a one-year network-monitoring upgrade to Lumen (also referred to as AdLumen in the presentation) at $110,025.80 to move coverage from business-hours monitoring to 24/7 monitoring, and a Google Workspace renewal for one year at $46,750. Rapp said the GoverPack renewal was $3,391.17 and Infoblox continuation was cited at $31,001.34 per year (prior-year totals included one-time purchase elements).
Rapp said the network-monitoring upgrade responds to security needs identified in audits and that the higher Lumen cost reflects expanded, around-the-clock monitoring. He told the committee the Lumen upgrade and some other renewals are expected to save money compared with previously contracting out those services to consultants.
The committee also reviewed a recommended amendment to extend the district’s agreement with the Bucks County Intermediate Unit (BCIU) for technology consultation through June 30, 2025; staff said the extension would not change hourly rates and that BCIU continues to provide services while district staff transitions.
A separate, one-time $3,000 project will automate data transfer from the district student information system into Canvas (Instructure) to reduce manual data conversion work, Rapp said. Matthew McCarthy, technology integration, told the committee that Google Workspace includes a Vault service that preserves backups and logs: “Everything is backed up … Vault goes back to the history of the contract,” he said, addressing board concerns about record retention.
Board members asked whether long-term renewals should wait for a new IT director; staff said the procurements are budgeted and are consistent with audit recommendations and existing operations. The transcript records committee discussion and clarification but no formal committee votes on the renewals or extension; staff planned to place the renewals on the full-board agenda.
