Board members discussed procurement steps for the planned renovation and paving while Marcus, the SoNo branch manager, gave a brief operations update. Cheryl (library staff) told the board the city purchasing guidelines require two written quotes for projects priced between $2,500 and $5,000, three quotes for work between $5,000 and about $25,000, and a formal bid for work at $25,000 and above. Cheryl said the board’s packet included contractor names gathered from neighboring Fairfield County libraries.
Why it matters: the work would make the SoNo lot more accessible, add EV charging capability and address safety concerns at the adjacent lot entrance. Board members said funding for the project has been approved but actual work depends on scheduling and weather.
Marcus, the SoNo branch manager, reported high program and circulation numbers since the renovations and credited staff engagement: “Today, we had our most patrons children at our story time. We had 35 kids, which I’ve never seen before.” He also described a book-weeding project and patron-driven displays.
On EV charging and repaving details, Cheryl said the plan calls for the parking space closest to the building to be fully ADA-compliant and the next space to be both ADA-compliant and equipped with an EV charging unit sized to be van-accessible. Cheryl described the EV charger as “one machine” with charging connections on both sides so two vehicles can charge at once. The board discussed coordinating paving with charger installation and noted vendors and partners — including two respondents identified in the packet — are aligned but no firm schedule was set. Cheryl said: “We definitely have the funds. That was approved.”
Board members said striping and paint will wait for consistent warm weather; Cheryl noted crews typically wait until temperatures reach roughly 60 degrees before starting striping. She said hedge trimming and clearer directional signage at the neighboring lot remain outstanding safety items.
The board asked staff to gather quotes from the vendors listed in the packet and return with an update at a future meeting. No formal contract award or final schedule was approved at this meeting.
