Interim Director of Technology Scott Nuckols told trustees the board had three options: extend the live stream through closed session (which requires overtime for the technician), display a simple standby slide identifying that the meeting is in closed session, or run a full video/advertising loop during closed session (which Nuckols estimated would require additional hardware/software and cost "between 5 to $75,000" for software, hardware and production). "The additional cost would be that you would have to pay for the overtime of the technician to stay longer for after closed session," Nuckols said during the presentation.
Board members said they preferred a low-cost, practical approach that would keep the public informed and allow the district to promote enrollment and other routine information. Trustee Marisol Cruz supported a standby slide that included enrollment information and a scannable QR code; other trustees noted bilingual wording should be included. The superintendent's office and technology staff presented a sample slide showing enrollment information and a QR code that would direct viewers to registration resources.
Rather than approve high-cost production at this meeting, the board directed staff to implement the standby/advertising slide for use during closed sessions and to ensure the feed returns to the public open session when the board reconvenes. Trustees discussed, but did not approve at this meeting, pursuing full video-advertising playback during closed session because of the higher estimated cost and staffing needs. Superintendent's office staff said they would explore lower‑cost production or consultant options for future promotional videos.
The decision was recorded as board direction to staff; no formal ordinance or policy change was made during the meeting. Technical execution details (timing, bilingual copy, and QR targets) were assigned to district technology and the superintendent's office for follow-up.
