McLeod County approved the purchase of 16 copiers (14 replacements plus two additional units) from Metro Sales of Mankato under a state contract price of $138,351.85 and accepted trade-in of existing devices.
Information Technology staff said the county completed a usage review and adjusted machine size and features to match departmental needs. The county plans to reduce one copier in Health and Human Services and add two in the Sheriff’s Office; local printers (6–12 units) would also be replaced. Staff noted many existing devices are seven to ten years old.
Maintenance fees were presented as a per-page charge: 8.9 cents for black-and-white and 5.9 cents for color (per-page maintenance rates to be charged to departmental budgets noted in the packet). Commissioners thanked IT staff for the detailed review and recommended continued monitoring of needs as departments move toward reduced print volumes where feasible.
Motion and vote: A motion to approve the purchase was made and seconded. The motion carried by voice vote.
Staff will proceed with procurement under the state contract and implement copier replacements and trade-ins as described.
