IT and library staff briefed the committee on March 25 about a planned five‑year device and infrastructure refresh, AppleCare insurance for student devices, an additional technician request and increased recurring spending to sustain robotics, drones, virtual‑reality and esports programs.
Jose D’Souza and Dennis Milano said staff are executing a five‑year MacBook refresh for staff devices and will use an Apple deployment service to preconfigure roughly 675 MacBook Air units for distribution. The plan pairs a phased replacement cycle with AppleCare protection for student devices in grades 6–12; staff described a $50 deductible for replacements under the AppleCare program and said the arrangement has sped replacement times and reduced parental burden compared with prior insurance arrangements.
On infrastructure, staff reiterated that a district‑wide network refresh is underway and that the portion of the refresh eligible for E‑rate is being included on the school warrant so the district can claim available federal rebates. Staff said the district anticipates replacing wireless access points and other network gear on a regular cycle and recommended an additional technician position to handle help‑desk volume and installations.
Library and computer science staff asked for a larger operating allocation to replace consumable and specialized equipment purchased with earlier warrant funding. The increase would cover parts and components for student projects (including drones being assembled for an aerospace competition), Sphero robots used in early grades, augmented/virtual reality headsets, robotics parts and higher‑end peripherals used by competitive esports teams. Dennis said the line item jump reflected the need to sustain devices bought in prior capital rounds rather than an expansion of programs: "That warrant is exhausted and now this is the follow‑up to maintain the devices that we use," he said.
Committee members raised concerns about cell‑service gaps in some buildings. Staff said several near‑term options exist: signing staff phones onto the Wi‑Fi for improved coverage, working with mobile providers that can leverage school access points to allow specific carriers to route calls through campus infrastructure (a T‑Mobile option already discussed) and pursuing additional vendor options for other carriers. IT said the wireless refresh would improve overall connectivity but noted some building geometries (the meeting room itself was cited) limit signal strength in particular spots.
Staff did not request immediate votes on the refresh but said they will return with refined contract and budget language. The IT presentation also referenced potential state guidance on classroom telephony that would add a "silent panic" capability to phones to allow law enforcement to listen in on a classroom line during an incident; staff said they were monitoring that guidance and may need to update phones over time.
