Veteran Service Officer Karen reported that the office's new ETK client-management software is "up and running." "We are up and running, and everything is great," she said, and added trainers provided videos and IT assisted with integration. She said the office documents 1,256 veterans in the county and that entering records will be time-consuming but valuable.
Committee members discussed a proposed suggestion-box and survey process intended to let clients and the public submit anonymous feedback. Administrator Clint Langrick and committee members suggested mailing a survey form in an envelope to clients after appointments so they can respond privately; committee asked Karen and staff to put follow-up on the November agenda.
Karen presented an office-space proposal to provide a private meeting room, separate file office and two private offices to meet federal confidentiality requirements for client records and for online therapy sessions. Committee members said office arrangements and county rental availability are in flux and administrators will continue to evaluate options.
In public comment, Sandra Kramer and a representative of the American Legion confirmed Veterans Day programming across local schools (Saint Mary's to be virtual). A VFW representative noted VFW covers Memorial Day ceremonies.
The committee set its next meeting for Nov. 18 and tentatively moved the meeting time to 9:30 a.m.; members discussed possibly moving to quarterly meetings in 2026 because of low meeting frequency. The meeting adjourned by voice vote.
Why it matters: ETK is the office's new case-management system and will change how client records and eligibility are documented; the suggestion-box and office-space discussions relate to client confidentiality and service access.
Ending: The committee asked staff to return suggested survey procedures, office-space options and legal timeline for commission appointments at the November meeting.
