Keith County authorizes $5,000 building and grounds credit card for local purchasing

The Keith County Board of Commissioners authorized a resolution allowing the Buildings and Grounds office to obtain a separate credit card at Pinnacle Bank with a $5,000 limit.

Commissioners approved the resolution by roll call after a motion by Irvin and second by Schroeder. The resolution authorizes Chris Marlton (Buildings and Grounds) to obtain the card immediately under separate account numbering and to operate it apart from the county umbrella card.

Clerks and staff explained the change was prompted by repeated accounting and posting errors on the county's umbrella credit account. Sandy (county staff handling accounts) told the board that payments had been credited to the wrong individual card accounts instead of the umbrella account; the miscredits produced an interest balance the vendor reported as $916 and an administrative backlog tracing to late‑period postings around December 2023. County staff said they had requested credits and were trying to reconcile interest and mistaken postings.

Commissioners discussed operational controls: issuing a separate card for Buildings and Grounds, limiting the number of county offices that hold separate cards and requiring receipts and reconciliation. Chris recommended a $5,000 limit to provide working capital for supplies and routine purchases; commissioners voted to approve issuing a Pinnacle Bank card in that amount and to adopt a resolution so the card could be issued promptly rather than waiting for the next meeting cycle.

The vote was unanimous; staff said the county will finalize resolution paperwork and advise Pinnacle Bank of account setup instructions.
