Commission discusses liaison role and considers moving meetings to council briefing room

During the March 19 meeting the commission discussed how liaisons from partner agencies participate in meetings and considered moving the regular monthly meeting location to the City Council briefing room to improve visibility, seating and online access.

In the chair report commissioners said the commission is newly formed and that early adjustments to meeting format are expected. City staff and commissioners discussed a suggestion to carve out a short formalized liaison speaking time—similar to public comment—so partner liaisons can provide consolidated updates rather than interjecting throughout every agenda item. Some commissioners preferred keeping liaison input distributed during the meeting because it can be immediately informative; others supported trying a brief, dedicated liaison segment early in the agenda when time allows.

City staff also outlined two venue options: continue in the current meeting room or move to the council briefing room/briefing center where commissioners would sit on the dais and liaisons would have a defined seating area. Staff said the briefing room has better audiovisual capabilities for hybrid participation and the city has reserved it for the remainder of the year except for July. Commissioners agreed a trial could be scheduled and adjusted if it felt awkward.

No formal action was taken; staff said they will circulate a revised calendar and confirm the location and the April combined meeting schedule. Commissioners noted the April 9 combined meeting with the planning commission would be held in the briefing center.
