La Porte UEA discusses digitizing records, website updates and meeting scheduling

Board members discussed several administrative items including digitizing UEA records, updating online materials, and improving meeting attendance planning.
Mary Anne and other board members said UEA files are physically stored at city hall and recommended scanning and storing records in a cloud service so files would remain accessible if consultants change. Mary Anne reported she identified three companies (Maryville, Chesterton, Fort Wayne) to contact for price quotes and said Opportunity Enterprises may be another option; she will obtain quotes.
Staff noted the city website contains UEA information under Government > Boards and Commissions, but recommended updating contact information and the business packet previously posted to the city’s site. The board asked staff to send updated packet materials to LEAP and to ensure UEA contact information and meeting schedules on the city website are current.
Board members also discussed quorum concerns. The board requested members inform Mary Anne in advance if they cannot attend so meetings can be rescheduled or otherwise managed; the issue was raised because timely approvals (for example, the Barr Holdings vote) sometimes require a quorum on short notice.
Separately, the board approved a motion (voice vote) directing staff to send a certified letter to a remaining unpaid incentive recipient; staff will report back on payment status. The board also approved a $500 community enhancement grant for Rusted Knuckles cruise night on June 7 and encouraged groups in the enterprise zone to apply for the up-to-$500 awards.
The board adjourned and announced the next meeting will be in April at the library.
