A presenter told the board the recommendation to select AstroTurf Great Lakes was based on proposals and pricing and noted a base-price turf option is included in board materials; a navy-blue turf with yellow end zones was offered as an alternate color at additional cost. "There is a turf color option that is available for an additional cost above the base bid," the presenter said.
Staff emphasized that referendum dollars would not be used for the turf and track work. Instead, funds from district capital accounts (identified in the presentation as funds 41 and 46) would pay for the project if approved. The presenter outlined a near-term schedule: the board will receive a recommendation this meeting, will vote on March 17, and—if approved—construction would begin in early June and track/turf components would be completed by August, subject to athletic schedules.
Warranty and maintenance details were discussed: the turf product carries an eight-year standard warranty, with an option to extend to 10 years if the district follows the manufacturer's maintenance program (an annual specialized maintenance service). Staff said that annual maintenance is an ongoing expense and could be negotiated with the vendor and possibly offset in part through advertising or other arrangements.
Bidding and procurement issues were noted: staff said three vendors were invited and two submitted bids; one vendor did not respond after follow-up. Staff also said final firm pricing for color or maintenance negotiations would be clarified before the March 17 vote.
No final contract award was made at this meeting; staff asked for board feedback and said a formal recommendation and vote would occur at a later meeting.
