Staff said the existing scanner stopped working in January and the city’s plotter is at end of life and no longer supported by the manufacturer. The purchase price through the cooperative procurement (NASPO) is $26,500; a 60‑month lease would cost about $600 per month and total roughly $36,000, staff said. Staff also noted an optional maintenance plan and that the manufacturer’s setup, first toner and toner costs were included in the quoted purchase price.
Community development staff recommended a pay‑as‑you‑go maintenance option rather than a monthly maintenance contract, citing limited expected use. Committee members asked if splitting functions across two older machines might preserve redundancy; staff replied that local maintenance support (OfficeSource) could respond quickly if issues arise.
Alderman Rogers moved and Alderman Harrell seconded forwarding approval to purchase the unit to the full Board of Aldermen; the committee approved the motion by voice vote. Staff said a previous grant application to cover the equipment was denied this year.
